Reports vary in form and function. However, they are by nature the same. They require a specific procedure to be performed and their end results differ. Reports are a valuable resource for use in a variety of fields and industries – academic assignments, consumer studies, project management, industrial research, etc. For projects, they are often used to report and communicate project status, but it goes beyond that.
Integrity in reporting
In order to become a reliable resource, reports have to be produced under certain conditions:
- Their purpose must be stated.
- The procedures must be defined.
- Tools must be pre-determined.
- Limits should be understood and respected.
There is no point in conducting a report if certain compromises are made along the way. Data can get corrupted easily, procedures become suspect and the conclusion may not be viewed as very reliable or accurate.
This is why many reports are accompanied by controls – mostly data or standards that are already known or are difficult to manipulate. This way, any procedures performed or data collected will be accepted and declared suitable.
Uses of reports
Reports have a wide variety of uses in project communications but their main purpose is usually to provide information on status. Sometimes, they are also used to compare known data with unknown or unstudied elements.
Reports are also used to confirm or reject a previously stated conclusion or they may be used to promote a cause. Consumer reports, for example, are very popular because they are conducted under controlled circumstances and they provide people with important information they can use to help them choose goods and services in a safe and fair manner.
There is a fine line between white papers and reports at some level. However, if, in the project world, the broader idea of reports is kept firmly in mind, then the idea of project status reports can become much more illuminated and effectively used. This can results in project status reporting that is much more relevant and useful that just what someone did with their time.
